January 2019 General Meeting Minutes
 
Date, Time, and Location: Tuesday, January 8, 2019, at 7:05 p.m. in the school library
 
Meeting called to order by Sarah Rebensdorf at 7:05 p.m.
 
Attendance: See sign in sheet. There were 13 members in attendance; a quorum was reached. 
 
Fr. Jim was in attendance and led us in opening prayer.
 
Minutes: No December minutes to approve
 
Pastor’s Report: 
  • Project Safe and Beautiful
    • Coming along nicely. Still a lot of small details to complete: grouting, brickwork, foundation for Mary, memory plaques, landscaping on south side of church, etc.
      • Setbacks: We hit water twice since the typical depth 18 inches for irrigation, we only had pipes 1 inch down and they were hit while digging
    • Finish the majority of the project by end of January with minor items leftover
    • Parking lot will be longer range, withing the next 2 weeks will be striped with lines, basketball, parking, foursquare, etc.
      • If you notice it is uneven and lines running through, has not been slurried yet. It is estimated that in July it will get slurried and then get re-striped. Standard operating procedure.
    • Inside the drop off we will have a small garden area with trees, astroturf, rocks, pavers, etc. and can serve as an outdoor classroom.
    • Landscaping will also be longer term
    • Grand opening to thank everyone who has done so much for us will be scheduled for a future date. 
    • Surveillance cameras over all parking lot with monitors in office and rectory
    • Gates will be automatic should be coming in next two weeks. Gates will take time to program. Eventually, they will open automatically at 7am and close at 8am, etc.
  • So What’s Next: Goal is to finish project and assess money. Next most glaring issue is O’Sullivan Hall. Hall, windows upstairs and daycare, asbestos, bathrooms, air conditioning, etc. It snowballs, easily, but makes sense to do everything all together. Last thing will be church.
  • Healing mass- anointing of the sick with eh oils. Homebound visits for sacrament of headlining on Sat and all masses Sunday. Emotional, spiritual or physical crisis.
 
Principal’s Report: 
  • Financial Report 
    • Tuition and Fees are the only income to operate due to Renew Viz.
    • Started with a school surplus of about $300K, which includes pre-paid fees, some which is about 1.5 months of operating expenses 
    • Fluctuates based on cash flow. December and March get low. Right now, that is the situation since we are not using any fundraising as operating expenses. 
    • Doing entire budget, we intend to operate this year at about $76K surplus this year. 
    • Only about $12K in delinquent tuition fees. 
    • Halfway through the year, collection is timely and very few problems with cash coming in.
    • From a finance perspective and academic perspective, we’ve been forced to streamline our essentials and figure out what we can do the same for cheaper
    • Goal is not to raise tuition much based on the current operating situation 
    • After renew the goal would be to build an endowment for the future. Talk about what fundraising would look like in the future
    • Endowment discussion
      • Start a seed fund and then add a check box if people want to give.

  • Sarah is working with Guylaine Brosmer but getting ready to get in the ground
  • Fr. Jim will talk with the landscape designer to figure out when it will go in the ground

​STEM Fair (Krista Doby)
  • Forms are due Friday 1/8
  • 50 interested children for this year
  • Projects due February 25th
  • Awards will be Wednesday 27that 8am
  • Looking for a new field trip location
 
Spirit Wear
  • We had a lot of items produced: soccer chair, sweatshirt, t-shirt, yoga pant, and ornament
    • Navy blue shirts should be delivered Friday and will be distributed the following week.
  • Need to sell current inventory
  • Future orders will probably be limited to shirts
 
Security Door and Visitor Screening
  • PTO members will go visit Granada Hill Charter High School
    • $1,895- with 3 & 5 year warranties on printer and scanners
    • $465 ongoing fee
  • Run ID through Megan’s Law screening database
  • ID badge generated
  • All entry points will get a camera and intercom
  • Increasing to 22 cameras instead of 6
  • We will also have 8 intercoms instead of 2
  • Conduit has been run across the yard to connect the school buildings and church
  • Adding to new security system
 
FUNraisers
  • Giovanna Diioro is now heading up
  • Islands @ Howard Hughes 20% January 28th& 29th
  • CPK @ 19th& 20thof February
 
New Business

  • Golf meeting Monday night (1/14) in the library at 7pm
  • Sponsorship really goes to the bottom line
  • Silent Auction
